User accounts: Overview

To access Rbean, everybody needs a user account.

User accounts are personal and linked to one's email address. They should not be shared - both for privacy and security reasons.

Types of user accounts

There are three types of user accounts. Each has its own set of rights (and responsibilities 🦸).

Student Mentor Admin

→ No special rights

A student can participate in projects and has access to study tools.

→ Monitors sessions
→ Feedbacks student work

A mentor manages day-to-day activities - they feedback student work, take attendance, etc.

→ Manages learning materials
→ Manages user accounts
→ Creates course sessions
+ Mentor rights

An admin has control over the instructional design and management of the school. They also decides when a course runs.

The very high-level stuff (like the creation of a school and its first admin) is done by the Rbean team.

After that, it's the admins' job to create user accounts for a school.

All user accounts start the same - without special rights.

It means that student accounts are the default, and you can add a Mentor or an Admin role on top to give an account access to your school's management.

Price per account

When you use Rbean, you pay per active user per month.

What's an active user? It's someone who is subscribed to at least one project during the month.

In effect, the platform keeps track of all project subscriptions and automatically counts active users at the end of the month to produce an invoice.

This implies that:

  • Admin and Mentor accounts are free if they are only used to manage the school.
  • If you subscribe an Admin or a Mentor to a project, they'll count as an active user and will count towards the monthly invoice.

Account expiration

Inactive accounts are free, and they never expire.

Students retain access to their accounts, projects history and study tools forever.
Free of charge.

That's because we believe learning never stops, and revisiting old lessons and projects is part of the growth process.

Data Protection Policy

Of course, in practice, we still have to comply with the GDPR (the European law on the protection of personal data). So if someone doesn't log into their account for three years, we automatically delete their account.

We also delete accounts at their owner's request. (Those requests have to come through the school though, because legally the school is responsible for student data.)

In effect, deleting an account means we delete all personal data and anonymise the account. It's permanent - you can never recover a deleted account.
